The four types of brand mentions - and what to do with each
Every mention is not equal. Questions, complaints, praise and noise each need a different response - here is the sorting habit that keeps monitoring sustainable.

The question
"Anyone know a tool that tracks mentions on Reddit?" This is the highest-intent mention you will ever see. Someone is actively shopping and asking the room for a recommendation. What to do: reply fast, answer the actual question first, mention your product second. A helpful answer from a founder beats a pitch from an account named after the product.
The complaint - about you or about a competitor
A complaint about a competitor ("X raised their prices again, looking to switch") is a warm lead wearing a disguise. What to do: acknowledge their frustration, say what you do differently in one line, and stop. Do not write a sales page in their replies.
A complaint about you is different. What to do: respond in public, fix in private. A short "you're right, DMing you now" reads better than a paragraph of defense, and everyone watching the thread sees the response, not just the complainer.
The praise
Someone says something nice unprompted. What to do: thank them like a human, not like a brand. Then save it - screenshots of real praise are your best social proof later. If they wrote a whole thread, ask before you quote it on your site.
The noise
Job posts, an unrelated product with the same name, a song lyric, someone using your category word to mean something else entirely. What to do: nothing. This is what filters and negative keywords exist for. Engaging with noise trains you to read every mention, which is how monitoring habits die.
The habit that makes this work
Sorting mentions into these four buckets takes seconds per mention once it is a habit. Questions get a reply within the hour. Complaints get same-day handling. Praise gets a thanks. Noise gets skipped. The teams that burn out on monitoring are usually the ones treating all four the same.
You can try HeyKeyword free - add your brand name and one competitor, and watch which bucket fills up first.
